Vendors

In planning for the Fourth National BLET Convention, we have set aside space for the use of vendors, exhibitors, and retail sales.

The general floor plan shows the area in the Rio Convention Center where these activities will take place and will provide an overview of all other functions. This space (Rio Pavilion 1) is both large and spacious, and is located immediately preceding the general session area well in the foot traffic pattern, and is fully 4,000 square feet.

Please use the vendor registration form to make your application for a booth, to inform us of your additional needs. You may also contact us with any questions you may have.

BLET will provide at no cost to all non-candidate applicants a standard booth, which occupies a space 10 feet by 10 feet described as follows:

  • 1 6-foot draped table
  • 2 chairs inside the booth area
  • 8 foot high drape behind the booth
  • Side rail drape dividing the area used from others
  • Booth identification sign on back drape
  • 1 waste basket

Additional needs must be made known to us when completing the vendor registration form. These needs include things such as:

  • Do you need more than one standard 10 foot by 10 foot booth to expand your booth area to include additional tables? If so, how many tables?
  • 110 VAC electrical at your booth(s), and how many outlets?
  • Do you need Wi-Fi access? How many users?
  • Will you have a stand-up display(s)? How many? Do you need additional space outside the 10 x 10 foot area of the standard booth footprint to display your exhibit? If so, how much more space?
  • You may be asked to supply us with a simple drawing of layouts that encompass more than the standard 10 foot by 10 foot footprint.
  • Do you need more chairs at your booth for your use or for customers to sit down? How many?

We do not supply video equipment, audio equipment, screens, computer equipment, etc.; however, they can be rented from the hotel by contacting Encore Productions, phone (702) 777-6542 for pricing and availability.

The vendors area (Rio Pavilion 1) will be available for load in and setup beginning at 9:00 a.m. on Friday, September 28, 2018, and will be open and available each day thereafter with final load out to vacate the room to take place no later than Friday, October 5, 2018 by 12:00 Noon.

The vendors area in Rio Pavilion 1 is not a secure area and high value items will have to be removed to secure storage during times when your booth is not attended. We have some lockable high value mixed use storage space just off the Rotunda area for use on a first-come-first-served basis.

The Rio All Suites Hotel and Casino maintains a package center, which is open seven (7) days a week. Hours of operation are from 7 am to 6 pm, Monday to Friday, and 8 am to 4 pm on Saturday and Sunday. The package center can be contacted by calling (702) 777-2475 or via email at GPaquet@lvrio.harrahs.com and gcarter@caesars.com. The center receives packages and freight via UPS, FedEx and USPS as well as local carrier. Shipments should arrive at the hotel no sooner than three (3) package days prior to guest arrival.

There is a standard handling & processing charge that is assessed to all packages and freight that are sent to The Rio Package Center based on weight.

Outbound handling

The hotel will assist with pickup and staging of your labeled packages and freight for pickup by designated freight and small package carriers.

All Exhibitors and Attendees are able to utilize the FedEx Store/Business Center, located at the entrance of the Pavilion Conference Center. You can contact the FedEx Store by calling (702) 777-2476, which is located in the corridor approaching the convention center. The FedEx Store is fully equipped to handle all of your copying, faxing, printing, binding, packaging and shipping needs, as well.
